EU supports ALOtec’s digital transformation: ERP update and new DMS

ALOtec Dresden GmbH is implementing two digitalization projects funded by the European Union under the “Transformation Projects – Digitalization of SMEs” program. The goal of these projects is to develop a comprehensive digitalization strategy, combined with the implementation of document management software (DMS) and the further development of the existing ERP system.

Upgrade of the AvERP ERP system to version 2025

The update to the ERP system will streamline several workflows. Invoices can now be generated automatically from order confirmations using a new flag in the order type. Price announcements from suppliers can be stored along with the corresponding date. When creating a customer delivery note, customer-specific shipping information is automatically displayed as a note.

Implementation of the Agorum Document Management System

At the same time, ALOtec Dresden is implementing the Agorum DMS. The system offers a powerful full-text search function as well as automated workflows for routing and processing documents.

The first step was to implement a digital invoice processing workflow: e-invoices and PDF invoices are archived directly in the system and automatically processed. Approvals are handled digitally, are transparently documented, and can be tracked at any time.

Interface between the two systems

An interface will be set up between AvERP and Agorum to exchange data on suppliers, customers, and documents.

Results of the projects

A key objective is to eliminate paper-based processes. In the future, all documents will be digitally captured, archived, and easily retrievable. In this way, ALOtec Dresden is laying the groundwork for more efficient internal processes and sustainable management of corporate data.

These projects are supported by the European Union as part of the “Transformation Projects – Digitalization of SMEs” program and co-financed by tax revenues based on the budget approved by the Saxon State Parliament.
